Requirements for Manuscript Submission

All accepted papers will be published in the IAW Proceedings. To make the process of preparing the proceedings easier, we ask authors to adhere to the guidelines described below.

Abstracts are not being accepted for review. Authors must submit full papers by the deadline for their papers to be considered.

All paper submissions should include a cover sheet with the following information:

  • Title of paper
  • Complete names (surname and given name) of all authors
  • Organizational affiliation of the authors (e.g., Texas A&M University)
  • Mailing address, telephone number, fax number, and Email of the primary author
  • Indication of which author will present the paper
  • In what category the author thinks the paper belongs
    • Experience: This paper outlines practical lessons learned in information assurance by a practitioner.
    • Research: This paper describes research conducted in the are of information assurance, and it describes the results of that research.
    • Emerging Concepts: This paper describes new paradigms or concepts that have not been fully tested or research for which results are incomplete.

Electronic submissions should include this information in the Email and/or in a file called coverPage.txt on the disk.

Papers submitted for review must be formatted according to the formatting instructions in the attached zip file. For this workshop, the page length is six to eight pages. Authors must submit the full paper for review. Electronic copies of the paper can be submitted in Word (.doc), LaTeX2e, or Acrobat (.pdf) (preferred) formats. Electronic versions of the manuscript may be Emailed to the Publications Chair.

Requirements for final submission of manuscripts that have been accepted:

Final papers must be formatted according to the formatting instructions in the attached zip file. For this workshop, the page length is six to eight pages. Electronic copies of the paper can be submitted in Word (.doc),  LaTeX2e formats.

Instructions for authors preparing LaTeX manuscripts:

The conference proceedings editorial staff will have to re-LaTeX your original source files after including appropriate page numbers, paper code, and time of presentation. Thus you must provide all of the source files needed to produce the final output. Specifically authors must provide the following:

  1. A single source file called paperXX.tex, where XX is the number assigned to your paper by the reviewers.
  2. Provide your bibliographic references in a file named paperXX.bib.
  3. Use the included LaTeX2e proceedings template ieeetranUSMA.cls, and the bibliography style ieetr.bst.
  4. Each figure must be provided as a separate encapsulated PostScript file.

All LaTeX files are in LaTeX.zip.


Guidelines for Manuscript Preparation

Papers for the workshop are limited to eight pages in a two-column format. It is the Publications Chair's responsibility to ensure that all accepted papers are intelligible. It is essential that authors follow the prescribed length and formatting instructions. Submissions which exceed the prescribed limits may be edited to fit, possibly by deletion of text and/or figures. Authors will be notified only if time permits.

  • Manuscripts should be six to eight pages in length. This includes all references, figures, and equations.
  • Avoid repetition in text.
  • Equations, unless very simple, should be avoided in the body of the text; instead, they should be included as figures.
  • Any Greek characters or special notations used in the text body should be clearly identified.
  • All terms and symbols, including acronyms, should be defined in the following manner: use the entire name the first time they are mentioned, in lower-case letters, followed by the acronym in parentheses (e.g., "phase-locked loop (PLL)," not "PLL (Phase-Locked Loop)."
  • Source references should be noted by end notes as described in the formatting instructions at the end of the paper, not as footnotes.
  • Omit product code numbers or logs in the text or illustrations. It is acceptable, for reference, to indicate them in footnotes.

Guidelines for Illustration Preparation

When submitting electronic versions of papers with figures, please make sure that all figures comply with the following guidance:

  • All illustrations should be black and white, with high contrast.
  • Do not use shading or color in illustrations as they reproduce poorly.
  • Whenever possible, figures should fit in a single column of the manuscript
  • Do not submit photographs instead, scan them in yourself and submit electronic versions.
  • Captions should be brief, preferably no more than 38 characters.

Information for Speakers

Each presentation room will have a Windows-based computer with PowerPoint 2000. With prior notice by the author, presentation rooms can be equipped with a projector for transparencies. For legibility, please observe the following rules of thumb:

  • Avoid crowded slides. Do not merely make transparencies of large parts of the paper.
  • Avoid small characters. We recommend a minimum of 24pt characters in a strong, clear font.
  • Use black backgrounds on slides with black lettering.
  • No commercial logos or advertising matter should appear on slides.
  • Be sure that slides are clear and sharp, so that they may be easily read in the last rows of a large room.

Papers will be allotted thirty minutes, including time for questions. Session chairs will ensure that paper presentations do not exceed their allotted time.


Poster Session

In addition to the papers, there will be a poster session.

To submit the poster presentation for inclusion in the proceedings, authors should submit a two-page extended abstract for review. These are due at the same time as larger papers (27 April). The following information should be centered at the top of the first page of the extended abstract:

  • Title of poster
  • Complete names (surname and given name) of all authors
  • Organizational affiliation of the authors (e.g., Texas A&M University)
  • Mailing address, telephone number, fax number, and Email of the primary author
  • Indication of which author will present the poster

The extended abstracts will be published in the conference proceedings.

The conference will provide tri-fold felt covered foam board that is 32" tall and 48" wide so that presenters do not have to fight to get their posters to the workshop.  Authors are free to decorate this board in any manner they choose. Our intent is that poster presenters will bring displays, charts, slides, etc. to put on the poster boards.  We will have tape, tacks, velcro, etc on hand.  Tri-fold boards will be used so that they will stand on tables arranged around the poster session room. Here are two generic guidelines for preparing a poster presentation.  Disregard the pricing and size information in these documents.

Deliverables

For papers submitted for review and acceptance:

  • Two paper copies of the manuscript mailed to the Publications Chair or one electronic submission Emailed to the Publications Chair. Electronic copies of the paper can be submitted in Word (.doc), LaTeX2e, or Acrobat (.pdf) (preferred) formats. For accepted, corrected papers:

All final submissions must be mailed/emailed to the Publications Chair.

  • Electronic copies of the paper can be submitted in Word (.doc) or LaTeX2e. Papers submitted for review must be formatted according to the formatting instructions in the attached zip file. Electronic submissions can be via email, on CD, 100 or 250 MB Zip disk, or 1.44 MB 3.5" disk.
  • A cover sheet with the following information:
    • Title of paper
    • Complete names (surname and given name) of all authors
    • Organizational affiliation of the authors (e.g., Texas A&M University)
    • Mailing address, telephone number, fax number, and Email of the primary author
    • Indication of which author will present the paper

    Electronic submissions should include this information in the Email and/or in a file called coverPage.txt.

  • IEEE copyright form (which may be sent by FAX to the Publications Chair.
  • Workshop registration with payment for at least one author.

We will be using Adobe Acrobat to convert the word and .ps files to .pdf. If we have difficulty converting your paper for any reason, we will contact authors to give them an opportunity to correct the papers. If possible, authors should verify that their papers can be converted to .pdf using Acrobat.

Users of LaTeX2e should make sure that copies of all included files are sent with the submitted documents.

In addition, speakers should bring a copy of presentation materials in PowerPoint 2000 format (preferred) or on transparencies. If desired, the presentation material can be sent on a disk with the final submission of the paper.


IEEE COPYRIGHT FORM

The IEEE has developed this form with great care and with the best interests of its members and contributing authors in mind. Therefore, in order to maintain uniform treatment among all contributors, Company or other forms may not be substituted for this form, nor may any wording of this form be changed. This form is intended for original, previously unpublished material submitted to IEEE periodicals and conference publications. This form, when completed, must accompany any such material in order to be published by IEEE. Please read it carefully and keep a copy for your files.

Notes and Information for Authors and Their Employers

IEEE POLICY

 In connection with its publishing activities, it is the formal policy of the IEEE to own the copyrights to all copyrightable material in its technical publications and to the individual contributions contained therein, in order to protect the interests of the IEEE, its authors and their employers, and, at the same time, to facilitate the appropriate re-use of this material by others. The IEEE distributes its technical publications throughout the world and does so by various means such as hard copy, microfiche, microfilm and electronic media. It also abstracts and may translate its publications, and articles contained therein, for inclusion in various compendium and similar publications, etc. . When an article is submitted for publication to the IEEE, the IEEE understands that its acceptance of the article implies that IEEE has the rights to do all of the things it normally does with such an article.

IEEE Policy 6.17 - CLEARANCE OF PAPERS - applies to all material submitted to IEEE: "The IEEE must of necessity assume that material presented at its meetings or submitted to its publications is properly available for general dissemination to the audiences these activities are organized to serve. It is the responsibility of the authors, not the IEEE, to determine whether disclosure of their material requires the prior consent of other parties and, if so, to obtain it."

 IEEE OBLIGATIONS

 In exercising its rights under copyright, the IEEE will make all reasonable efforts to act in the interests of the authors and employers as well as in its own interest. In handling third party reprint/republication requests for an IEEE work, the IEEE requires that 1) the consent of the first-named author be sought as a condition in granting republication (of a full paper) to others; and 2) the consent of the employer be obtained as a condition in granting permission to others to re-use all or portions of a paper for promotion or marketing purposes.

 AUTHOR/COMPANY RIGHTS

 If you are employed and you prepared your paper as a part of your job, the rights to your work rest initially with your employer. In that case, when you sign the copyright transfer form, we assume you are authorized to do so by your employer and that your employer has consented to all the terms and conditions of this form. If not, it should be signed by someone so authorized. (See also Policy 6.17 above.)

 SPECIAL NOTE TO EMPLOYERS: just as the IEEE requires a signed copyright transfer form (for copyrightable material) in order to do "business as usual," it is the intent of the transfer portion of the form to return rights to the author and employer so that they, too, may do "business as usual."

 Please note that although authors are permitted to reuse all or portions of their IEEE-copyrighted material in other works, this does not include granting third-party requests for reprinting, republishing or other types of re-use.
